New Features & Enhancements

Unlimited Remote Inventory Locations:

CDA 8.7 will now control a Master Inventory plus an unlimited number of remote inventory locations.  Each location will independently track quantities, ordering, usage, and reorder level information.
BTZBUL1A.GIF (1801 bytes) Viewing Locked Work Orders:
Previous versions of CDA would not allow viewing a work order if it is locked open by another user.  This was a necessary function to control data integrity since it is not possible for two users to make changes to the same record at the same time.  This new release will give you access to display the locked record in a VIEW ONLY mode.
   
BTZBUL1A.GIF (1801 bytes) Other Work Order Enhancements . . .
Coverage Change Alert:  Once the coverage type for Parts, Labor, and Other charges have been assigned, the system will now display an alert message and require the user to confirm it they are trying to make a change.  This should avoid accidental changes.  This feature can be turned off in the System Settings Menu.
Secured In-House Memo Area:  The In-House Memo window has been changed to View Only.  You will now have to click a button to add comments.  The comments will be stamped with the user's name as well as the current date.  An Edit button has also been added to allow changes to the Memo area.  Once comments are entered, they can not be deleted or changed unless the user has assigned privileges to do so.
Counter Sale Invoice:  The following fields were added to the Counter Sale Invoice.  First Name, Work Phone, Cell Phone, and Email Address.  You now have an option to email the Counter Invoice as well.
Model Number Alert:  We added a message box to the Models database that will be displayed when the model number is entered on a work order.  This will alert the user on special instructions assigned to the model number.
Product Alert:  Version 8.6 gave you the ability to add alert messages to the products assigned to each manufacturer.  We now added a message box to the Product Codes database located in the Utilities Menu.  This will allow you to enter a message to specific product codes that relates to all manufacturers.

When adding recipients to a new message, you now have the ability to select recipients as a batch instead of one at a time.  This works similar to MS Outlook.  A button was also added to remove the selected recipient.
A Forward button has also been added to forward existing messages to other recipients.
When replying to a message, the original message will also be sent.
We added a "Saved" folder to the Personal Message Center window.  You can now move messages from your active window to your Saved folder without having to delete them.  Your Saved folder can be viewed and messages can be handled in the same manor as your active folder
BTZBUL1A.GIF (1801 bytes) CDA Scheduler Refinements:
You will now have the ability to select the browse order of the daily jobs to list by Route, Tech, Time or Zip Code.  You will be able to switch between these views by simply clicking a button.
When deleting an entry from the schedule, a status will be recorded on the work order.  Also, if a work order is voided, the scheduler entry will now be removed as well.
The SLOT format has been changed to handle decimals.  You will now be able to allocate a partial amount of time rather than using up an entire slot.  For example; if you have a call that may only require a small amount of time, you can allocate ".25" instead of using up an entire slot.  This will provide a way for you to show more availability and accept more calls for each route.
A check box has been added to flag a call as a "Parts Installation".  This flag will be seen on all scheduler browse windows as well as printed route sheets.  This will make it very easy to know how many "Part Installation" jobs have been scheduled for each route or each tech.
The layout of the "Route Availability" window has been changed to provide more information about each available route for any selected zip code.  The window will now show the available days for the next two weeks, as well as the maximum number of calls each route can handle, the amount of calls already booked, the amount of slots available, and the number of Part Installations jobs.
A new function has been added to the CDA Scheduler called "TECH ROUTES".  This is a window that can be accessed from the CDA tool bar and will provide the ability to track the activity and status of any technician's route throughout the day.  If your techs have remote access, they can update their calls in a real-time mode.  You will be able to monitor their activity for each call and display any notes the tech may have added to the record.  The tech will also be able to see any notes or additional calls added by the dispatcher.  The work order can also be displayed directly from this window.  In addition, you will have the ability to set up a user profile for  your remote techs that will limit their access into CDA only to run the Tech Routes window.  This is ideal for remote or sub-contracting techs that only need to control their daily routes.
We also added Email notifications to the FSS Dispatch process.  An email can be sent to a primary and up to four carbon copy recipients for each dispatch received.
BTZBUL1A.GIF (1801 bytes) Archiving Purchase Orders:
You now have an option to Archive your purchase orders.  This function will move all completed PO's from the active database into an archived database.  The PO's will be available to search and view in a Read Only mode.  This will allow you to keep your active file trim and efficient without having to delete old PO's.  The purge function is still available.

A new button has been added in System Settings to set up a Legal Statement.  Some states require specific legal syntax to be printed on your invoices.  This selection will handle that for you.  The statement will print at the bottom of the COD, 3rd Party, Counter Invoices and Claim Checks.
BTZBUL1A.GIF (1801 bytes) Reports:
A new C.O.D. Open Invoice report will show all COD Invoices that have been completed but not paid.  Records will be displayed in order of the Date Completed.
BTZBUL1A.GIF (1801 bytes) Estimates:
We redesigned the COD and 3rd Party estimate forms to include the parts breakdown.  The email form will now be a PDF attachment.  This will eliminate the formatting issues that some users have had viewing the estimates in various email browser.
You now have an option to set up Carbon Copy Email Recipients in the Stores/Dealers file for 3rd Party Estimates.

Optional Modules now available for version 8.7

BTZBUL1A.GIF (1801 bytes) Document Scanning:
This new module will give you the ability to scan and save documents directly into work orders.  You will be able to scan as many documents as needed.  Each will be converted and appended to a PDF file.  When you select to view your scanned documents, CDA will launch Acrobat Reader and display all documents as thumbnails.  You can then take advantage of all the features provided with Acrobat Reader for printing, faxing, etc.  If you have our Vendor Invoice Control module, you will also be able to scan the original parts invoice and attach it to the Vendor's Invoice record.
BTZBUL1A.GIF (1801 bytes) Parts Tracking Module:
Over the last couple of years, we have received many requests to enhance the ability to track parts in CDA.  With the price of parts and cores increasing dramatically, the amount of money being lost each year through miss-handling and inadequate follow up has become overwhelming for many service companies.  Now, a new module is available for version 8.7 the will help you take control of these issues.  You will now be able to track any part through every phase of service.  Tracking bar code labels will provide multiple functions.  Parts are linked directly to Vendor invoices for quick monitoring of current assignments and statuses.  One quick scan will provide everything you need to know about any part.  View a history of every time the part is scanned.  Each history entry is stamped with the date and user's name.  New tracking reports will provide detailed information on RMA status for parts and core tracking. 
Parts can easily be assigned to work orders or Techs with a simple scan.  When scanning the tracking number onto a work order, the system will retrieve the actual cost price from the vendor's invoice rather than the last cost price entered in your inventory assuring you the correct price for each individual part.
You will always know if parts that were assigned to technicians have been used, returned, or remain in their possession.  Defective parts or Cores can be properly assigned and tracked until credit or replacements are received.  The system can also determine the amount of time left for each part to comply with each vendor's return policies to help you resolve issues of returning parts on time.  Specific reports are also available to show parts having a "HOLD FOR RETURN" status so you will be able to return the parts in a timely manor.
This is a very detailed and comprehensive tracking system that will require specific parts handling procedures.  Webex training sessions will be available at no additional cost.
