Instructions for setting up CDA to handle the Encompass Parts Group

Effective January 2, 2009, Tritronics and Vance Baldwin will be merged into the Encompass Parts Group.  Therefore, these two accounts will become one account in CDA.  The following procedure will outline what will be required in CDA to handle this. 

1. You must upgrade your CDA software to version 8.7j or higher.  This is a free upgrade to anyone already on any 8.7 build.
2. Now you must create a new Vendor’s record for Encompass.  In the Vendor’s menu, click on “Add New Parts Vendors”.  Complete this page as you would for any new Vendor.  Please use one of the following rules to enter your Encompass Account Number.

• If you currently have an account with Vance Baldwin, use this account number.
• If you have a Tritronics account but do not have a Vance Baldwin account, you must obtain an Encompass account number from the following link: http://www.encompassparts.com/tritronics/
• If you do not have either a Vance Baldwin or Tritronics account, then call Encompass Parts Group at (800) 432-8542 to acquire your new Encompass Parts Account information..
• IMPORTANT: Do not remove the existing Vance Baldwin and Tritronics records from the Vendors Menu.  These records may be linked to existing work orders or purchase orders.
• Begin using the new Encompass Vendor Code whenever ordering from either Vance Baldwin or Tritronics.
• When receiving parts on purchase orders that were created with either the Vance Baldwin or Tritronics vendor codes, use the existing codes to complete the process.

3.  Next, open the Communications Menu.  You will notice that the links for Tritronics and Vance Baldwin are no longer there.   However, you now have a setup link for Encompass Parts.  Click on this link now.
4. If you already had this information set up for Vance Baldwin, these fields will be filled in.  You will need to change the Vendor Code to the new Encompass code that you just set up.  If these fields are blank, you will need to use your existing Vance Baldwin account number and Web login information or you will need to acquire new information from Encompass Parts Group at (800) 432-8542.  Existing Tritronics customers can obtain an Encompass account number at the following link.  http://www.encompassparts.com/tritronics/
5. Now you need to add Encompass Parts to the EDI processor file.

• In the Communications Menu, click on “EDI Processor Setup”. 
• Next, click the “Add” button. 
• Select “Add New Parts Vendor to EDI List”. 
• Now, select the new Encompass code from the dropdown list.
• Select Encompass Parts Group as the Agent.
• Click the “Create” button to finish the process.
• Do not remove the existing records for Vance Baldwin or Tritronics as they may be linked to existing purchase orders.

 You will also discover that Vance Baldwin and Tritronics have been removed from the On-Line parts search feature and replaced with Encompass Group.  The results of the search will combine both inventories.
